Switching is easy
Move from your old POS in an afternoon
You don't start from zero, and you don't type your stock in again. Bring over what you have today and pick up where your old system left off, with your books already right.
- 1
Export from your old system
Most POS and accounting software saves a spreadsheet. No export? Fill in our template.
- 2
Upload it
Column names don't have to match: "Item Name", "Qty" and "Selling Price" are understood.
- 3
Check before anything is saved
Every row is checked first. Problems are listed by row number, and nothing is saved until the file is clean.
- 4
Open for business
Stock, customers and balances are in, and the books open with the right figures.
What comes over
- Suppliers
- With their credit terms and what you still owe them, as bills to pay off.
- Products and today's stock
- Sizes and colours, barcodes, categories and brands, with your stock valued at cost in the books.
- Serial numbers
- Units on the shelf, and units already sold with their warranty end dates, so warranty questions still get answered.
- Customers
- With loyalty points and what credit customers still owe you.
- Safe to retry. Upload the same file again and anything already in is skipped, never doubled.
- Excel-friendly. Save as CSV. Phone numbers Excel shortened get their leading 0 back, and prices like "Rs. 1,250.00" are read as they are.
- A template for each list. Download it, fill it in or paste your columns across, and upload.
More than a till that rings up sales
Built in from day one and included on every plan.
Send bills on WhatsApp
Every receipt, invoice, quotation, job card, warranty slip and payslip downloads as a PDF or goes out as a link, straight to the customer's chat.
Stamped, and marked paid
Add your shop stamp to an invoice or quotation before you send it. Paid invoices carry a red PAID seal, and a customer can't fake either.
VAT and SSCL worked out
Tax invoices with the value before VAT, the VAT and both TINs, VAT from suppliers claimed back, VAT payable for each month or quarter with its due dates, an SSCL estimate, and a warning before you cross a registration limit.
Nothing to re-key
Sales, deliveries, refunds, payroll and depreciation post their own double-entry books. Profit, cash and what you are owed are current the moment you look.
Books that keep themselves
There is no separate accounting package to re-key your sales into. Every sale, delivery and refund writes its own balanced journal entry, so your profit, cash and what you are owed are current the moment you look.
For everything else, one line records an expense, a tax payment or money you put in, without thinking in debits and credits.
Done for you when the sale completed
| You | Invotron |
|---|---|
| Complete a sale | Stock comes down, and revenue, tax and cost of goods go into the books. |
| Receive a purchase order | Stock goes up, the amount is added to what you owe that supplier, and any VAT they charged is claimed back. |
| Sell on credit | The sale goes on the customer's account, and shows by age until it is paid. |
| Refund or exchange | Stock returns to the shelf, the refund leaves your cash account, and its VAT comes off what you owe. |
| Set up rent once | It posts itself every month, including any months you were away. |
| Add a piece of equipment | Depreciation is written off monthly until the asset reaches zero. |
| Charge a repair | Parts leave stock, the advance is used up, and parts and labour are booked as income. |
| Pay out petty cash | The expense lands in its category and the cash box balance updates. |
| Pay a supplier by cheque | Their bill is cleared now; your bank balance drops when the cheque clears. |
| Write off expired stock | It leaves the shelf and its cost is booked as stock loss. |
| Close the counter | A blind count against expected cash, any shortage booked, and the end-of-day slip printed. |
| Sell a service someone did | Their commission is worked out and filled in on that month's payroll. |
Everything between the stockroom and the balance sheet
- A touch-friendly POS
- Tap product photos or scan barcodes, take cash, card, bank transfer or credit (or split it), and print the receipt. Returning customers come up as you type their phone number, with their loyalty points.
- Counters, cashiers and roles
- Give each till its own counter and each person their own login as owner, supervisor, stock manager or cashier. Every sale records who rang it up and where.
- Stock that stays right
- Products with any variants, photos, barcodes and labels, serial numbers and warranties, and a ledger of every movement. Low-stock alerts tell you what to reorder, and expiry dates warn you before stock goes off.
- Quotations and A4 invoices
- Save the bill as a priced quotation, print it on your letterhead, and turn it into a sale at the quoted prices when the customer says yes. Every sale also prints as a full-page invoice, and as a proper tax invoice once you are VAT-registered.
- Warranties the invoice proves
- Shop, company, software and parts warranties per product, printed on every invoice with their terms and end dates, so the invoice is the warranty card. Look up any item and open a claim in seconds.
- Repairs and service reminders
- Job cards for walk-in repairs and on-site visits, estimates the customer approves by WhatsApp, parts from stock, and scheduled services on the devices you sell, with one-tap reminders.
- Purchasing and suppliers
- Raise purchase orders, receive deliveries in part or in full, and pay suppliers by cash, transfer or cheque on their credit terms. Overdue bills, bills due this week and cheques about to be presented show on the dashboard.
- Services, commission and payroll
- Sell installation, delivery, fitting or treatments next to your stock, at a fixed or starting price, and credit each job to whoever did it. Their commission flows into the month's payroll, with EPF, ETF, advances and printable payslips.
- A dashboard you can act on
- Today against yesterday, the month's sales and gross profit, cash and bank, who owes you, supplier payments due, stock about to expire, top sellers and what is running low, on one screen.
- Profit and loss, balance sheet, trial balance
- All three come from the same books, for any date range, with a CSV export for your accountant. Reconcile against your bank statement and close finished months so they can't change.
- Counters that close and balance
- Open each till with a float and close it with a blind count. The end-of-day slip splits takings by payment method, and every shortage or overage is flagged and booked.
- Petty cash under control
- Top up the cash box, record each payout with its category and a receipt photo, and always know what should be in the box.

Questions people ask first
Do I need a credit card to start?
No. Every plan starts with a 14-day free trial and no card is required to sign up.
What kinds of businesses can use Invotron?
Retail shops with product variants, electronics or appliance sellers who track serial numbers and warranties, salons, clinics and repair shops that book staff and appointments, and restaurants running tables and tabs. You pick your type when you sign up and the system adapts around it.
Can I look around before signing up?
Yes. The Try a live demo page has four demo shops, one for each business type, that open with one click and are already filled with sample products, sales and accounts.
Can I bring my products over from my old POS?
Yes, usually in an afternoon. Under Settings → Import Data, upload a spreadsheet (CSV) of your suppliers, products with the stock you have today, serial numbers and customers, including what customers owe you and what you owe suppliers. Exports from most systems work as they are; if not, fill in our template. Each file is checked before anything is saved, re-uploading never doubles anything, and your opening stock and balances go into the books for you.
Can I send invoices and receipts on WhatsApp?
Yes. Every receipt, invoice, quotation, job card, warranty slip and payslip can be downloaded as a PDF or sent as a link, straight to the customer's WhatsApp chat. Owners can add the shop stamp before sending, and paid invoices carry a red PAID seal.
Does it handle VAT and SSCL?
Yes. Turn on VAT in Business Details and every bill adds it, invoices print as tax invoices showing the value before VAT, the VAT and both TINs, and VAT you pay suppliers is claimed back. The Tax page shows VAT payable for any month or quarter with its due dates, an SSCL estimate, and how close you are to the registration limits. Your accountant still files the returns.
Do I still need separate accounting software?
No. Invotron keeps a full set of double-entry books: every sale, delivery and refund posts its own journal entry, and you get a profit and loss, balance sheet and trial balance for any period. Your accountant can take a CSV export.
What does the accounting cover?
A chart of accounts you can add to, a journal, customer and supplier balances by age, recurring monthly entries, payroll from your staff salaries, fixed assets with automatic depreciation, bank reconciliation, VAT and SSCL for any month or quarter, and closing a period. It does not file tax returns for you.
Can I give customers quotations and warranty cards?
Yes. Build the bill in the POS and save it as a quotation to print or send; when the customer buys, it becomes the sale at the quoted prices. Every sale prints as an A4 invoice, and the warranties on it (shop, company, parts and your own) are listed with their terms and end dates, so the invoice is the warranty card.
Does it handle repairs and servicing?
Yes, for electronics and appliance shops. Take a device in with a job card (or book an on-site visit), send the estimate on WhatsApp, use parts from stock, and charge it on collection with an optional repair warranty. Products can also have a service plan, such as an AC serviced every three months, and the system reminds you when each one is due.
Can it track expiry dates?
Yes, for any product you choose. Enter the expiry date when each delivery comes in, and the dashboard and the Expiring page show what has expired and what expires soon (you set how many days ahead). The POS warns the cashier about expired stock, and you can write it off in one tap.
Will it remind me to pay suppliers?
Yes. Each supplier has credit terms, so every delivery gets a due date. The dashboard lists overdue bills, bills due in the next week and cheques the bank will present soon, and you can add a reminder for anything that isn't in the books yet. Pay by cash, bank transfer, card or cheque, in part or in full.
Can several cashiers and tills use it at once?
Yes. Add a login for each person as owner, supervisor, stock manager or cashier, and set up one counter per till. Cashiers only see the POS, and the sales report splits takings by counter and cashier.
Can I sell services and pay staff commission?
Yes, in any type of shop. Add services such as installation, delivery or alterations under Catalog → Services, with a fixed price or one the cashier can change. Pick who did each service on the bill, and their commission is totalled per month and filled in on the payroll run.
Does payroll handle EPF and ETF?
Yes. A monthly payroll run works out EPF at 8% from the employee and 12% from the employer, ETF at 3%, deducts any salary advances, posts it all to the books and gives you printable payslips.
Can I change plans later?
Yes — you can upgrade, downgrade, or cancel at any time from your billing page.
Is my business's data kept separate from other accounts?
Yes. Every account is fully isolated at the data layer, so your catalog, sales, and customers are never visible to anyone outside your team.
How long does setup take?
Most shops are ready to take their first sale within minutes of signing up. Add a few products by hand, or import your whole catalogue, stock and customers from your old POS in an afternoon.
